Privacy Policy

This Privacy Policy explains how Farseno Cloud collects, uses, stores, and discloses information when visitors use our website, submit a request, or use our subscription software for internal procedures, recurring checklists, operational instructions, workplace knowledge, and activity summaries.

1. Scope of this policy

This policy applies to information processed through the Farseno Cloud website, product workspace, account administration features, support communications, and related services. It does not govern a customer's independent handling of personal information outside the service. When a business customer enters information about its personnel, contractors, or other individuals into a workspace, that customer generally determines the purpose and content of that processing, and Farseno Cloud processes the information to provide the requested service.

2. Information we collect

Account and business information

We may collect a user's name, business email address, company name, role, team size, billing contact details, account preferences, and authentication information. We also receive information submitted through request forms, product inquiries, support messages, and service communications.

Workspace content

Customers may add procedures, instructions, checklist templates, tasks, due dates, status labels, department categories, reference materials, working notes, and completion records. The service may also store user-generated comments, internal attachments, and information needed to maintain version history. Customers are responsible for deciding what content is appropriate to place in their workspace and for providing required notices to their users.

Usage and technical information

When the website or product is used, we may collect device and browser information, approximate location derived from an IP address, timestamps, referring pages, pages viewed, interactions with product features, diagnostic events, and security logs. This information helps us maintain the service, investigate errors, protect accounts, and understand how features are used.

Payment information

If paid subscriptions are offered, payment details may be collected and processed by a payment service provider. Farseno Cloud may receive transaction identifiers, billing status, subscription level, and limited billing contact information, but does not need to store a complete payment card number when a provider handles the payment.

3. How we use information

We use information to provide and administer accounts; create and maintain customer workspaces; display procedures, checklists, knowledge resources, and summaries; process subscription and billing activity; respond to support or sales requests; improve usability and reliability; protect the service and its users; monitor for misuse; comply with applicable law; and communicate material service, policy, or account updates.

We may use aggregated or de-identified information to understand general product usage and improve the service. We do not attempt to identify an individual from information that has been reasonably de-identified, except when needed to confirm that the de-identification process remains effective.

4. Legal bases and business purposes

Depending on location and applicable law, information may be processed to perform a contract, take steps requested before entering a contract, pursue legitimate interests such as service security and improvement, comply with legal obligations, or act on consent where consent is required. Legitimate interests are evaluated against the rights and expectations of affected individuals.

5. How information may be disclosed

Information may be disclosed to service providers that support hosting, storage, security, analytics, customer support, communications, and payment processing. These providers are authorized to process information only for the services they perform for us and subject to appropriate contractual restrictions. Information may also be disclosed in connection with a lawful request, a safety or security investigation, enforcement of contractual rights, a corporate transaction, or with the direction or consent of the relevant customer or individual.

We do not sell personal information for money. We do not disclose workspace content for third-party advertising. If our practices change in a manner that requires an opt-out right under applicable law, we will provide the required notice and control before applying the changed practice.

6. Customer instructions and administrator access

Workspace administrators may invite or remove users, assign roles, set access levels, and view activity associated with their organization. A user's organization may access, export, correct, or delete workspace information through its administrator. Requests concerning customer-controlled content should generally be directed to the relevant organization first. We will support reasonable verified instructions from customers where required by contract or law.

7. Data retention

We retain account and workspace information while an account is active and for a reasonable period afterward to support recovery, comply with legal or accounting requirements, resolve disputes, and enforce agreements. Retention periods vary by data type, sensitivity, contractual commitment, and operational need. Security logs and backup copies may remain for limited periods after primary information is deleted. When retention is no longer justified, information is deleted, anonymized, or isolated from routine use.

8. Security

We use administrative, organizational, and technical measures designed to protect information against unauthorized access, alteration, disclosure, or destruction. Measures may include access controls, encryption design standards, logging, environment separation, and review of service providers. No system can be guaranteed completely secure. Customers should use appropriate account controls, restrict sensitive content to authorized personnel, and notify us promptly of suspected unauthorized access.

9. International processing

Information may be processed in the United States and other locations where service providers operate. Those locations may have different privacy laws. When a legally required transfer mechanism applies, we take steps intended to provide appropriate safeguards for the transfer.

10. Privacy rights

Depending on applicable law, an individual may have rights to request access, correction, deletion, portability, restriction, or objection; to withdraw consent; or to appeal a decision concerning a privacy request. Some rights are subject to verification, legal exceptions, and the customer's control of workspace content. We will not unlawfully discriminate against an individual for exercising an applicable privacy right.

To submit a request, use the contact details below and describe the information or account involved. We may ask for information reasonably necessary to verify identity and authority. Authorized agents may be required to provide proof of authorization.

11. Cookies and similar technologies

The website may use essential cookies needed for page functionality, preferences, security, and session continuity. Optional analytics technologies may be used only as described in the Cookie Policy and subject to applicable controls. Browser settings can limit certain cookies, although blocking essential storage may affect functionality.

12. Children's privacy

The website and software are intended for business users and are not directed to children under 13. We do not knowingly collect personal information from children through the service. If we learn that such information was submitted without appropriate authorization, we will take reasonable steps to delete it.

13. Third-party services

The service may permit a customer to use third-party tools or integrations. Those third parties operate under their own terms and privacy notices. Farseno Cloud is not responsible for a third party's independent practices, and customers should evaluate those practices before enabling an integration or transmitting information.

14. Changes to this policy

We may update this policy to reflect product, legal, security, or operational changes. The updated version will show a revised effective date. When a change materially affects how personal information is handled, we will provide additional notice when required.
